Executive Assistant


This is a Contract position in Toronto, ON posted June 2, 2017.

Position: Executive Assistant
Location: Toronto
Salary: From $45,000 to $50,000 per year

We are looking for an exceptional candidate who will provide managerial and personal support to multiple executives of a large well-established company in Toronto, as part of a growing administrative team. Under the direction of the Executive, the Executive Assistant will assume the following administrative tasks in order to assist the team in managing daily activities.

In this role, you will have to:

– Provide administrative support to multiple executives
– Make miscellaneous appointments/extensive calendar management; including agenda development, meeting rooms reservation, travel arrangements coordination, and supporting documents preparation
– Prepare and correct various presentation documents
– Perform tasks related to preparing and putting together proposals and/or propositions for submittal when the case arises
– Liaise with departmental and corporate officials and with other organizations and associations on behalf of Executives
– Meet with individuals, special interest groups and others on behalf of Executives to discuss issues, and assess and recommend various courses of action
– Protect operations by keeping information confidential
– Act as a backup for the Administrative Assistant
– Perform several other related tasks in terms of support for the department


– 3 to 5 years of experience supporting at least 2 to 3 Senior Executives within a fast-paced environment
– Excellent technical skills on MS Office (Word, Excel, PowerPoint) and various web based software – testing is required
– Ability to effectively communicate with the leadership team, employees and with clients at all levels and effectively work within a team environment
– Strong client service focus in dealing with both external and internal clients, displaying an image of professionalism, discretion and integrity
– Excellent judgement and strong problem solving skills, including a proactive approach to working with staff and clients at all levels and ability to influence others
– Ability to prioritize and successfully complete tasks while working under pressure in a fast-paced environment
– Ability to work with sensitive and confidential material
– Previous experience working in a centric team environment preferred
– Previous experience working in a bank, professional services, insurance or LLP firm would be a definite asset
– Strong communication skills, both written and verbal
– Ability to plan, research topics and be creative
