Assistant Manager, Administration (Investment loan)

This is a Contract position in Toronto, ON posted September 30, 2017.

The Assistant Manager is responsible for front line supervision of all staff in the Investment Loans Administration department . This includes planning and assigning work on a daily basis, while ensuring service standards are consistently achieved.Manage the day-to-day operations, specifically productivity and quality, while ensuring the team is highly efficient. Provide leadership and act as a key resource for staff. Prepare and monitor staff¿s objectives and deliver monthly coaching sessions with all staff or as needed. Prepare and deliver semi-annual and annual performance reviews to staff. Work cross-functionally with other members of the management team to increase productivity, quality and reduce risk. Manage relationships with peers, and internal and external clients. Monitor and coach staff to ensure high quality administration service in compliance with the B2B Bank service level agreement – standards for quality, quantity, and efficiency. Ensure that all employees in the team have the appropriate tools and technology required to do their job. Ensure superior customer service by meeting service standards related to follow-ups, escalations, and resolution of client calls. Compile and review credit administration metrics on an individual and team basis to identify areas of improvement, and make recommendations to Senior Manager to promote efficiency and a higher standard of service within the department. Conduct complex analysis and important controls required to meet regulatory and compliance policies and procedures. Create weekly schedule and assign workload that will ensure prompt funding of loans through peak and non-peak volumes. Assist in preparing reference materials and job-aids to assist employees with learning new procedures. Keep abreast of new product promotions, organizational policies and procedures, industry standards, the regulatory environment, as well as Revenue Canada legislation, and ensures compliance. Participate in special projects and carries out any other similar or general task at the request of their superior or that may be required by their function.University Degree in a related field, with 2 to 4 years of related experience. or College Diploma and 5 to 8 years of related experience. 3 to 5 years of supervisory and/or management experience within an operational environment within the financial services industry is an asset. Knowledge of Investment Products (Investment , RRSP loans, and TFSA) Understanding and management of workflow systems . Solid understanding of operational risk associated with business ¿ ability to analyze and solve problems, identify solutions for cost effective improvements. Demonstrated organizational and time management skills. Strong interpersonal, verbal and written communication skills. Proven influencing and negotiation skills. Customer service oriented with the ability to set service standards and expectations for the team. Ability to deal with multiple priorities or demands simultaneously and professionally. Computer literacy in Microsoft Office and Outlook. CSC or IFIC designation is an asset. Bilingualism (English/French) a definite asset. Demonstrated ability in core and role specific competencies including teamwork, adaptability, customer service, innovation, organization, detail orientation, influencing and negotiation.Special Condition: In order to meet high volume and service demands, flexibility is a must, to work outside of the standard business hours as required.
