Administration Coordinator, Centralized Ops, Perm

This is a Contract position in Toronto, ON posted March 27, 2018.

Reporting to the Assistant Manager, Operations, Centralized Operations, the Administration Coordinator is responsible for a variety of functions within the Centralized Operations team. The Administration Coordinator will also act in a Team Leader capacity; oversee various processes and staff for the accountable areas with a high degree of accuracy and with a superb level of customer service and professionalism. Fully accountable for employee engagement and collectively take pride in the overall business/operation success to meet /exceed service levels.¿ Work closely with the management team, centralized operations and assist with the management of queues, distribution of work, processes, and resources with a key focus on prioritizing volumes and achieving SLA¿s ¿ Work on diverse and multiple administrative activities while taking into consideration and following regulation legislation, policies and procedures. ¿ Produces and updates documents, reports, inquiries, and statistics and formulates recommendations. ¿ Ability to solve problems. make decisions accurately in a fast-paced environment. ¿ Support with escalations and making outbound calls when necessary ¿ During crunch time, the ability to work in the queues to support with high volumes. ¿ Establish and maintain effective communication with both internal and external clients. ¿ Complete tasks as assigned by your management team ¿ Perform other marketing duties as assigned¿ Must be available to work flexible hours between 7:30AM ¿ 10PM for rotational shifts and weekends as necessary. ¿ University Degree in a related field and 2 years of related experience, ideally within the financial services industry; or ¿ College Diploma and 3 to 5 years of experience, ideally within the financial services industry. ¿ Understanding of operational risk. ¿ Demonstrated organizational and time management skills. ¿ Proficient in using Microsoft Office Suite applications. ¿ Familiarity with 5S, Kaizen Principles, Six Sigma or other Continuous Improvement methodologies is an asset. ¿ Demonstrated ability in core and role specific competencies including teamwork, adaptability, customer service. ¿ Bilingualism (French / English) is an assetWe welcome and encourage applications from individuals from all groups, including aboriginal, women, visible minorities, and persons with disabilities, regardless of race, ethnicity, sexual orientation, creed, family status, national origin, age and gender.
