We are seeking an experienced Administrative Assistant for the Ottawa District to work on our construction project in Gatineau, Quebec.

The Administrative Assistant is responsible for providing administrative support to one or more people of a project team or department.

Responsibilities:
• Prepare and submit proposals and pre-qualifications for Special Projects and prepare internal bid review binder
• Assist with bid closings
• Assist with job startups and project completions
• Provide accurate Word, Excel and Power Point support by composing and/or editing a variety of documents, spreadsheets and presentations.

This includes minutes, memoranda, contracts, proposals, spreadsheets and presentations
• Develop and maintain a well-organized filing system that permits easy reference and rapid retrieval of information
• Assist with the issuance of subcontracts and subcontract revisions as well as contracts between PCL and a client
• Manage construction related documentation
• Assist with organizing meeting and/or special events including arranging for catering, locations and distribution of information
• Manage incoming phone calls
• Create and maintain templates for forms, letters, tracking spreadsheets, etc.

• Assist in ordering office supplies, distributing mail and greeting internal and external clients
• Other duties as required Qualifications:
• Diploma in Business Administration, Business Management or related field required
• 2-5 years administrative experience
• Bilingualism in both English and French
• Service oriented approach internally and externally
• Effective written, verbal and interpersonal communication
• Self-management skills to plan, organize and prioritize tasks with conflicting deadlines
• Strong attention to detail
• Effective problem-solving skills
• Ability to take direction from multiple people and work with minimal supervision
• Intermediate to advanced computer skills, including MS Office and other software as required
• Experience in the construction industry will be considered an asset
• Eligible for security clearance (Secret-Top Secret Level) Working Conditions:
