Administrative assistant

Jones & Associates Insurance

This is a Full-time position in Thunder Bay, ON posted June 28, 2019.

Reports to the Commercial Lines Manager?The Administrative Assistant will be required to perform an array of administrative tasks.

The main responsibility of the Administrative Assistant is to process submissions and endorsements into the brokerage file management software.

Additional responsibilities include processing of clients payments by phone or in person.

Other duties, relevant to the position, shall be assigned as required.?This is a great level entry position with the opportunity of advancement.?Job Duties?

Work together as a team with producers and management to perform assigned tasks in an efficient and timely manner?

Handle all requests from producers and insurers?

Assist in identifying any concerns or problem accounts with the producer, in regards to competition, hard to place coverage or non-renewals?

Input, review and submit new applications to companies?

Obtain additional information from producers that may be required by the insurers?

Prepare proposals for clients as directed by the producer?

Prepare marketing files and system documentation?

Attend meetings and seminars as required?

Preparation of client renewal packages (binders, certificates, summaries, etc.)?

Preparing Invoices, calculating provincial taxes, preparing premium finance quotes, etc.?

Timely issuance of binders, summaries, policies etc.?

Detailed policy proofing/ fact checking?

Input data into a computerized database and ensure accurate file management?

Arrange and book meetings in boardrooms, off-site conference halls, and other locations; ensure the appropriate presentation equipment is there?Requirements?

College Diploma or equivalent work experience?

Experience in professional lines desired?

Proficient in Microsoft Office: Word, Excel, PowerPoint and Outlook?

Experience on PowerBroker or similar insurance management systems is an asset?

2 years of direct work experience in an admin capacity?

Strong knowledge of general office procedures involving receiving payment, efficient computer skills, file management?

Excellent analytical and problem-solving skills?

Strong written and verbal skills to communicate with all levels of the organization and its executive team?
