Position Description

Reporting to the Clinical Manager, you will provide senior administrative/secretarial support to ensure the smooth and effective operation of the Work Stress and Health Clinic. You will work closely with and assist the management team in their administrative functions, including developing and managing databases, maintaining electronic calendars, coordinating with stakeholders/ managing e-mail inquiries and scheduling requirements, conducting workplace inspections (H&S), following up on meeting and incident report action plans, taking call notes, purchase order information and booking venues as required.

You will also be responsible for supporting tracking reporting, billing, invoicing and account reconciliation as well as financial operations. You will act as a primary point of contact for internal and external stakeholders, administer contracts, be responsible for tracking new initiatives, data entry into CRM, and developing and maintaining reports. Your duties will also include maintaining filing systems, accessing budgeting information, preparing presentations, taking minutes when required, and any other administrative duties as required. This role may also be called upon to contribute to preparing for external stakeholder meetings, including conducting research on prospective leads. There will also be opportunities for you to participate and lead special projects. This position is currently located at 250 College Street.

Qualifications

The successful candidate will possess a post-secondary diploma, and a minimum of 3-5 years of secretarial administrative experience, or an equivalent combination of education and experience. Candidates with previous administrative experience in healthcare or business development related activities will be given preference. In this role, you are expected to have excellent multi-tasking skills, to work efficiently and effectively under minimal supervision, and be adaptable to different styles of leadership. You will possess superior interpersonal, organizational, problem solving, and client-centered skills, detail-accuracy oriented, particularly while working under high pressure situations, and dealing with conflicting priorities. You are able to demonstrate utmost confidentiality in all situations. Candidates are expected to be well versed in PC skills, namely the Microsoft Office suite (Outlook, Word, Excel, PowerPoint, and Access). Prior experience with CRM tools, such as Salesforce, would be an asset to this position. The ability to work with clients of diverse cultural and social backgrounds is necessary. Bilingualism (French/English) and/or proficiency in a second language would be an asset.

Please Note: This is a full-time, permanent position is NOT part of any Bargaining Unit.
