Administrative assistant bilingual

This is a Full-time position in Ottawa, ON posted January 24, 2020.

Senior Administrative Coordinator needed for our nonprofit client in the healthcare sector.

This is a reputable organization with an excellent company and team culture.

The Administrative Coordinator will be responsible for a broad range of admin functions to support the Manager in this division.

We are looking for a Bilingual candidate who has at least 2 years of experience working with and supporting senior managers.

Experience at a secretarial level supporting a Board of Directors is preferred.

The Administrative Coordinator will also have the opportunity to be involved in special projects, working closely with all management and staff within this division.

Roles and Responsibilities Maintains critical dates and events calendar, including scheduling meetings and making travel arrangements.

Files all necessary documentation in paper and electronic filing systems as required including vendor invoices and contracts.

Acts as primary liaison for Board members.

Establishes and maintains governance calendars to reflect all meetings of the Board of Directors, its committees, and of the management team.

Coordinates and communicates meeting arrangements for the Boards of Directors and committees in collaboration with other staff.

Compiles and distributes agenda and corresponding materials and other governance documentation ensuring that materials are clearly named, categorized, and appropriately filed.

Records and prepares minutes of various governance meetings, including records of motions and action items.

Researches and makes all logistical arrangements for programs and services.

Manages incoming customer inquiries via the website, creating cases and reviewing queues in CRM system to ensure all are addressed.

Contributes to special projects and other job-related duties as required.

Qualifications and Experience Excellent verbal and written communication skills in both English and French with the ability to communicate clearly and tactfully with individuals at all levels of the organization.

Minimum of 2 years of administrative experience including working with and supporting senior managers.

Experience drafting confidential business correspondence and documents in both official languages.

Experience supporting a Board of Directors is preferred.

Experience recording high quality minutes is preferred.

Strong accuracy in data entry and attention to detail in written correspondence.
