Administrative assistant

This is a Full-time position in Milton, ON posted June 30, 2019.

Administrative Assistant Location Milton, ON PWTransit has an immediate opening for a full-time Administrative Assistant at our Milton operation.

Primary Responsibilities Answer main phone line to field transit customer service inquiries, compliments and complaints and act as the first point of contact for all visitors, act as backup for accessible transit booking service Maintain an employee schedule and daily dispatch, coordinate with management to approve employee days off and shift changes Enter daily payroll, respond to payroll and benefits inquiries from employees, and act as a liaison between payroll department and employees Use web based fleet software to create reports, input maintenance costs, verify technician time and backup for parts ordering Processing invoices, preparing expense reports, reviewing financial statements Monitor budget for and order office supplies as needed Administrative duties such as coordinating all social, providing written content (articles, photos) and memos, and maintaining physical files, electronic files, binders and records Schedule, facilitate and record Safety meetings including Joint Occupational Health & Safety Meetings Other projects and duties as required Required Qualifications Minimum two year post-secondary diploma required in a related field At least two years of experience in a similar role preferred Ability to display confidence and assertiveness, being able to take control of difficult situations Analytical with excellent research skills, ability to gather information to build bridges between ideas Effective time management with the ability to prioritize the workload and juggle different time-sensitive projects Ability to display maturity and honesty and be trusted with confidential information Exceptional customer service skills, over the phone and in person Exceptional writing/reporting, scheduling and research skills Proficient in Microsoft Office Knowledge of accounting and previous Dispatch experience considered an asset Salary Range $40,000 $60,000 annually, based on skills and experience
