Job Description Asset and Contract Coordinator IT Operations Contract Duration
– Approximatley 13 months Pay Band: $64,156
– $80,197 The Role: Reporting to the Supervisor, Program Services, you will add value as you respond to software contract administration requests and provides support and consultation services to management and staff through the procurement and contract development process.

You will be responsible for : Overseeing preparation of the contract process for the procurement of IT goods and services in collaboration with Digital and Information Services staff, Regional Clients, Purchasing Department, Legal Department and Risk Management.

Working collaboratively to maintain close and effective working relationships with other Regional staff, service users and vendors.

Monitoring and updating record of all contracts, contract renewal and expiry, asset end of life, and recommends next generation renewal and ensures appropriate warranties are maintained where appropriate.

Monitoring corporate wide contracts/master agreements and provide recommendations for contract changes based on consumption and ensures sufficient funding is in place for the term of the contract and makes necessary arrangements if needed.

Recommending and developing quality assurance standards, service standards and productivity measures for IT vendors goods and services.

Monitoring and coordinating the completion of vendor performance review during and at the end of the contract and escalates when vendor is underperforming.

Researching, reviewing and recommending improvements to existing processes, including technology requirements, RFP preparation, contract negotiation, asset tracking and other similar processes based on changes to legislation, products, services, innovations etc.

Overseeing the preparation of purchase orders and initiate invoice payments.

Providing direction regarding software licensing (purchases, validating, retrieving and transferring license keys) Tracking and manageing software licenses and IT hardware through vendor portals or database/spreadsheet.

Qualifications : Minimum of a two year college diploma or university degree, combined with a minimum of three years work experience in IT goods & services, legal and purchasing Working knowledge of IT policies, programs and processes.

Specific knowledge of purchasing, contract, document, risk and legal bylaws and processes.

Strong writing skills to prepare reports and information papers for a variety of audiences and verbal skills.

Ability to consolidate, analyze and summarize contract budget, investigate causes of budget variances, prepare projections, and recommended future purchasing strategies.

Extensive knowledge of multiple computer applications, including but not limited to MS Office, Access, Visio, MS Project and PeopleSoft, Adobe Acrobat, HP Ticketing System.

Location : 10 Peel Centre Drive, Brampton, Hours of work : 35 hours/week; Monday to Friday.
