Bilingual Senior Admin Officer-Mortgage Admin (Permanent,FT)

The incumbent is responsible for the administration and processing of non financial transactions in accordance with B2B Bank’s standards, policies, and procedures. This includes answering internal and external clients¿ inquiries regarding the products administered within the department, providing a consistent level of superior customer service, collaborating, investigating and resolving escalated issues or exceptions that may arise from the work administered by the department.Set up and maintain the distributor agent data base: this includes setting up new agents on all system platforms.   Review all Distributor applications for completeness, accuracy and ambiguity.   Produce reports for accounts; acts as liaison with the brokers/RA¿s for any discrepancies   Administer and processes product specific transactions, according to B2B Bank’s standards, policies, and procedures.   Maintain client files, ensures efficiency in retrieving documents, and archives closed files for easy accessibility. Act as an information resource for Administration Officers.   Resolve issues with processing requests that are escalated from Customer Services and/or RAs.   Researches, prepares, processes, and ensures quality non-financial transactions.   Researches and responds to regular and complex inquiries from internal and external clients, such as Customer Services or financial advisors, regarding the department¿s policies and procedures.   Maintain good working relationships with internal and external clients.   Escalates and makes recommendations to the Assistant Manager any inquiries or issues that may be beyond their scope.   Participates in completing daily workload within strict timeframes set by B2B Bank and addresses any issues with Assistant Manager.   Participates in department meetings and contributes to the planning process to achieve departmental and personal goals, as well as communicates any issues or concerns.   Submit recommendations to improve work processes to Assistant Manager.   Keep abreast of legislation, policies, and procedures, which relate to products and services.   Participates in special projects and carries out any other similar or general tasks at the request of their AM.Bilingual (French/English), verbal and written communication skills are mandatory. Post-secondary education in Business or a related field, combined with 1 year of work experience related to administration or processing with a financial institution.   Completion of Investment Funds of Canada (IFIC) or Canadian Securities Course (CSC) is an asset. Knowledge of banking, mortgage, investment loan, self-directed, securities, and other lending products.   Excellent attention to detail and accuracy.    Good interpersonal and communications skills, both verbal and written.    Excellent customer service skills. Able to work in a high volume environment with extremely demanding time frames.   Strong organizational, time-management, and multitasking skills.   Highly motivated with a desire to succeed. Ability to work effectively with others as part of a team.    Computer literacy in Microsoft Office (Word, Excel and PowerPoint) and Outlook a must; Experience with MS Access a strong asset.   Familiarity with using large and complex financial database systems; ability to learn inquiry functions in back office processing systems Familiarity with 5S, Kaizen Principles, Six Sigma or other Continuous Improvement methodologies is an asset.We welcome and encourage applications from individuals from all groups, including aboriginal, women, visible minorities, and persons with disabilities, regardless of race, ethnicity, sexual orientation, creed, family status, national origin, age and gender.
