Coordinator, Ecosystem Management

Toronto and Region Conservation Authority

This is a Contract position in Vaughan, ON posted January 21, 2020.

POSITION OVERVIEW: Contract Duration: 18 Month Contract Position Reporting directly to a Senior Project Manager, Ecosystem Management, the Coordinator supports the Managers, Project Managers and Environmental Technologists in project planning, securing approvals, writing procurements and agreements, and preparing reports on restoration projects across TRCA’s jurisdiction.

This position has a particular focus on project coordination during the planning phases and reporting on the project once it has been completed.

Overall, this position contributes to the Strategic Plan objectives of healthy rivers and shorelines and greenspace and biodiversity.

RESPONSIBILITIES: Ensure compliance with TRCA procurement and agreement requirements for the initiation of contracts, agreements, and procurement of materials and services.

Coordinate the development of agreements, Memoranda of Understanding (MOU’s), contracts, etc, and understand which template is needed for which situation.

Coordinate and prepare proposals for partnership agreements and non-traditional sources of funding.

Establish internal and external committees, teams and stakeholders.

Report project milestones and scheduling.

Track invoicing process in coordination with Project Manager.

Coordinate meetings including scheduling, agenda, preparation and distribution of meeting notes.

Help facilitate municipal project approvals and assist with coordination of internal and other agency approvals and permits as needed.

Coordinate site visits with internal and external partners including project start up, progress of implementation, contingency planning and close out.

Prepare project plans, checklist start-up and completion forms, including task scheduling, project communications including internal and external deliverables reporting.

Draft internal and external correspondence, project briefs, Authority communications and reports of a general nature.

Assist with the development of internal and external presentations for key projects for Manager or Project Manager to deliver at public meetings, stakeholder meetings, internal working groups, Executive Committee meetings and the Authority Board meeting.

Coordinate the production of signage, project messaging, including proof reading and editing of reports.

QUALIFICATIONS: Post-secondary degree or diploma in environmental sciences or related field.

Minimum 2 years’ experience related to major tasks, in one or more of the following fields: restoration ecology, resource management, environmental sciences, fish and wildlife management or related field.

KNOWLEDGE, SKILLS AND ABILITIES: Knowledge of aquatic and terrestrial restoration ecology, fish and wildlife and habitat requirements and relevant regulatory legislation.

Experience coordinating projects, including scheduling meetings, creating agendas, recording meeting notes and understanding project budget and financial reconciliation.

Experience writing requests for proposals/quotations, procurements, and invoicing.

Excellent written and verbal communication skills.

Excellent report and proposal writing and analytical skills.

Ability to deal tactfully and courteously with the public.

Excellent interpersonal skills and ability to work as a team member.

Knowledge of Occupational Health and Safety Act and the Accessibility for Ontarians with Disabilities Act.

Demonstrated computer proficiency with software experience (MS PowerPoint, Excel, Word).
