Executive Assistant (18 Month Contract)

This is a Contract position in Toronto, ON posted January 9, 2018.

The incumbent is responsible for providing administrative support to multiple members of the Senior Management team. The successful candidate will have past experience in an administrative capacity, supporting Vice President levels.Acts as the first-point-of-contact, and assesses and addresses the importance and urgency of situations, or alerts the Executive as appropriate. Manages the Executive’s calendar, coordinates meetings, conference calls, travel arrangements, and special events. Prepares the Executive for meetings including compiling information and debriefing the Executive on pertinent information prior to the meeting. Proactively prepares time-sensitive, confidential materials e.g. meeting agendas, reports, spreadsheets, documents and correspondence, using PowerPoint, Word & Excel. Drafts correspondence with limited verbal or written instruction. Sets up and manages filing of legal and non-legal documents. Monitors operational budget, manages expense accounts and ensures invoices are tracked accurately and paid on a timely basis. Liaises with direct reports, cross-functional areas and external partners to conduct business in an efficient and effective manner Participates in special projects and handle other administrative office duties.Post-secondary education in Business or a related discipline. Minimum of 5 years administrative experience supporting a Senior Executive in a fast-paced environment with multiple demands and an ever changing schedule. Advanced Level PC skills (MS Office: Excel, Word, Powerpoint) is required for the role. Experience analyzing metrics and preparing reports, with some project management. Well organized, able to manage time and multi-task to accomplish a multitude of tasks, with conflicting priorities and timelines. Effective interpersonal and customer service skills with the ability to interact with individuals at all levels. Demonstrated ability in core and role specific competencies including teamwork, adaptability, organizational, resourceful, customer service, innovation and problem solving.
