Onboarding IT New Hires – 5%
1. Set-up equipment/stationary/email/account access
2. Office tour / Discussion on best practice policies
3. Collect / Distribute latest documentation
4. Timesheet demonstration
5. Building Access Cards

Budget Forecasting & Invoice Tracking – 20%
1. Collecting SOWs / Agreements
2. Creating Requisitions / PO
3. Document Coding / Obtaining Sign-off
4. Invoice Record keeping
5. Update internal tracking documents
6. Updates to Finance stakeholders / Respond to Auditors requests”

Time Tracking – 25%
1. Noting employee absenteeism (Vacations, Sicks Days)
2. Recording lieu days approved by JZ/LM
3. Reviewing timesheets (OT, stat holidays, inaccurate entry)
4. Account Coding and Signature
5. Time tracking
6. Scanning and distribution to contractors and CIO office

Office Management – 10%
1. Ordering office stationary, equipment, misc supplies
2. Maintain office space (chairs, outlets, fans, desks)
3. Arrange print services / Maintain office printer
4. Ensuring Health and Safety requirements are met (Fire Warden, First Aid, Evacation Protocol)
5. Keyholder duties / New office set-up”

IT Admin – 15%
1. Reserving rooms & IT Equipment on behalf of team
2. Troubleshoot set-up errors
3. Provide visibility on calendars/equipment for vendors/OCS only
4. Printing on network for vendors/OCS team without domain access

EA Duties – 25%
1. Taking Meeting Minutes
2. Maintain Calendar / Scheduling meetings
3. Drafting Announcements / Distributing Documentation
4. Other duties as assigned
