Development and Construction Project Coordinator

Summary of Job

The Development and Construction Project  Coordinator provides a wide variety of support services for the development and construction group ranging from complex to routine. With excellent oral and written communication skills, this individual excels at maintaining positive working relationships and anticipates, understands, promptly responds to, and supports the work of the VP of Construction along with other individuals within the organization.  

This position is fast-paced and requires strong organizational skills, a high level of communication skills, attention to detail, and the ability to self-manage. Key attributes include the poise, discipline, and professionalism to represent the company’s Executive Team.


Key Responsibilities


Ensure vendors are activated and set up Maintain financial records ie chart of accounts, journal entries, reconcile general ledger accounts Once appropriate approvals have been obtained for project invoices ensure that they are properly coded and allocated and vendors paid on a timely basis. Prepare project construction draws by reconciling with construction budgets and compiling the draw package for review and approval. Prepare Project Financial Reports Application, maintenance, update and monitoring of outstanding letters of credit



Assembling documents for meetings, organizing detailed travel plans, itineraries, and documents required for meetings Organizes, coordinates, and co manages the VP Development scheduling, which may be subject to frequent modifications Works very closely with the VP Development to keep him well informed in advance of commitments and responsibilities Assist with mail and packages, including dispersing confidential email messages, often on a need to know basis Perform confidential administrative functions such as composing and typing letters, and preparing personal correspondence and/or documents Perform receptionist duties as required, including dealing on a daily basis with incoming telephone calls, arranging courier services, collecting mail from the mailroom and distributing to office staff Maintain a proper document control system Maintain comprehensive organized and up to date project files to ensure all drawings concerning Site Plan Approval, Permits, Study/ Reports, Close Out Documents are available as required.



Exceptional organizational skills with the proven ability to effectively prioritize tasks, while maintaining high standards and attention to detail and accuracy Established ability to work independently Excellent communication skills and professional demeanor Ability to multi task effectively Strong interpersonal skills, both written and oral The ability to communicate and interact with people from all levels both internally and externally to the organization Demonstrated ability to apply appropriate discretion and handle sensitive or confidential information Condominium experience is preferred



Minimum of five years previous administrative experience supporting Development and Construction Prior experience preparing construction draw packages Post-secondary education in office administration, accounting or a related field would be an asset and in Construction Planning or Project Management Strong knowledge in Architecture, Construction, Planning, Planning Approval Process
