Project Coordinator

Permanent Full-Time;  Job Band: 2 (under review)

Project Coordinators provide coordination and support to various digital health initiatives. Under the supervision of one or more Project Managers, Project Coordinators help to advance initiatives through the project lifecycle including conception, deployment and adoption at a provincial scale. Project Coordinators are responsible for working with both internal and external stakeholders, coordinating activities and deliverables pursuant to the deployment and ongoing support of assigned projects. As members of the Project Management Office (PMO), Project Coordinators are responsible for contributing to and supporting the fulfillment of processes and gating structures at OntarioMD.

Key Responsibilities:

Reporting to the Manager, PMO, and operating with day-to-day direction from one or more Project Managers, this role will:

  1. Provide coordination and support to digital health projects:
    1. Coordinate activities and deliverables to advance one or more projects, pursuant to the project plan(s);
    2. Coordinate meetings and working sessions with internal and external stakeholders, including the preparation and distribution of supporting materials, presentations and meeting minutes;
    3. Populate and distribute action, issue and risk logs and follow-up on action items with internal and external project partners;
    4. Develop and contribute to project documentation and communications;
    5. Support project alignment to PMO gating, including completion of project artefacts;
    6. Assume accountability to deliver defined elements of a broader project; and)
    7. Escalate issues to the appropriate project manager or other project stakeholder(s), as required.
  2. Reporting and analytics support to digital health projects:
    1. Populate and distribute status and progress reports, as well as project dashboards;
    2. Develop data exchange processes and data models (e.g., data shared by / with project stakeholders) to ensure compliance with business requirements, standards and reporting requirements;
    3. Data analysis and quality checks to validate data submissions, identify data quality issues and initiate corrective action; and
    4. Develop educational materials and deliver internal and external stakeholder training on data submission and reporting processes.
  3. Support the OntarioMD PMO:
    1. Develop and contribute to project processes, structures, and artefact templates;
    2. Contribute to the development and maintenance of project gating; and
    3. Contribute to the ongoing improvement of internal project management practices.

Knowledge & Experience Required:

Post-secondary education in Business Administration, Health Administration and/or Information Technology or equivalent experience Certified Associate in Project Management (CAPM) or equivalent certification is an asset 4+ years’ experience in a healthcare consulting/relationship management role, particularly information/ data-gathering, analysis and problem solving. Outstanding customer service ethic and strong account management skills. Effective communication skills including highly competent presentation skills, and ability to understand and communicate complex data and technology issues. Excellent organizational and interpersonal skills; able to use own initiative; attention to detail. Excellent time management skills and the ability to cope with conflicting demands and to prioritize tasks. Excellent data management skills, and the ability to present and interpret data in a coherent manner. Excellent Microsoft Excel & PowerPoint skills. Experience with SharePoint is an asset
