Executive assistant to SVP & chief marketing officer

This is a Full-time position in St Catharines, ON posted June 30, 2019.

About the Opportunity We are seeking an executive assistant to support the SVP & Chief Marketing Officer for Meridian Credit Union.

This person will handle a wide range of administrative and executive support related tasks and will be able to work independently with little supervision.

This person will be very well organized, flexible and enjoy the administrative challenges of supporting a fast-paced executive.

The ability to interact with staff (at all levels) in a fast-paced environment, sometimes under pressure, remaining flexible, proactive, resourceful and efficient, with a high level of professionalism and confidentiality is crucial to this role.

Expert level written and verbal communication skills, strong decision-making ability and attention to detail are equally important.

Key Responsibilities Maintain an accurate and detailed calendar for the CMO, manage and log incoming scheduling requests, re-schedule meetings upon request, proactively communicate changes, and anticipate and respond to scheduling conflicts Prioritize the CMO’s tasks and projects daily, monitor all emails, documents, or materials requiring input and/or approval Screen all communications to the CMO, with a particular focus on email management Draft internal and external communications and correspondence on behalf of CMO Conserve/manage CMO’s time by reading, researching and routing correspondence drafting presentations and reports; collecting and analyzing information; initiating meetings Oversee the creation, editing, and distribution of all materials for Board, Executive, and team meetings for the CMO with input across teams as required Organize internal and external meetings for the CMO, including notifying attendees, reserving conference rooms, handling logistics, drafting and distributing agendas, and taking minutes Provide backup assistance to other Executive Assistants when required as a member of the team, continually exhibiting a team approach, pitching in to assist when deadlines for other Assistants are pressing.

Manage all travel arrangements and reservations for CMO Complete and submit expense reports in a timely manner Welcome guests by greeting them, in person or on the telephone; answering or directing inquiries Coordinate scheduling of meetings and conference rooms in support of the CMO, including catering and conference room set up as needed Become familiar with Meridian’s business operations in order to communicate with various internal departments and to liaise with external parties in administrative matters on behalf of the CMO.

Knowledge, Skills and Experience A minimum of 5 7 years’ experience as a professional executive assistant or senior administrative assistant, having supported senior level executives, in a medium/large corporate environment or similar related experience.

Completion of relevant post-secondary studies.

Advanced ability in the use of Outlook, Word, Excel, PowerPoint, and Adobe Proven superior organizational and time-management skills, experience with ‘Get Things Done’ approach would be ideal Highly professional demeanor, poise, confidence, maturity, and exceptional interpersonal relationship skills with the ability to communicate effectively with Chief Executives, Directors and external contacts.

Effective in multi-tasking in a high-pressure environment, with the foresight to plan ahead, anticipate changes, evaluate, interpret, use sound judgment and respond in a proactive manner.

Able to work independently with minimal supervision and with ambiguity, within a team environment.

Demonstrate professional written and verbal communication skills.

Challenges the status quo and generally accepted practices of the office of the Executive.

Team player and solution/service oriented with a “can-do” attitude.

Conscientious, flexible, adaptable, resourceful, committed, trustworthy, loyal, insightful, calm, and assertive.
