– $33.64 per hour Reference: 174386-cmc Come work as a Contracts Administrator, Contract Management Office with Vancouver Coastal Health (VCH) Reporting to the Executive Director, Contract Management Office (CMO), the Contracts Administrator works with the Contracts Coordinator(s) to monitor and maintain Professional & General Service contracts with independent contractors, external consulting agencies, non-profit agencies and others, and provides related administrative support to the department.

Ensures appropriate and timely renewal and/or changes in accordance with Contract Management policies and direction of the appropriate Director, maintaining awareness of legal requirements, contract terms and reporting requirements to maximize business advantages and ensure compliance.

Triages information of a sensitive and confidential nature, and coordinates the flow of information, ensuring accurate and timely delivery of administrative services.

Provides budget, contract and report analysis and makes recommendations regarding budgeting, and contract management processes and practices as requested.

Shares and ensures protection of sensitive of information, clarification of details and answering of questions.

Works independently and communicates with internal and external stakeholders/customers in a manner that promotes positive and respectful relationships.

Works closely with the CMO department leadership, Vancouver Coastal Health managers/directors and team members, contractors/consultants and external agencies/vendors to ensure effective and efficient contract administration.

As a Contracts Administrator with Vancouver Coastal Health you will: Provides contracts administration support that respects confidentiality and ensures that contracts and administrative matters are organized and dealt with in a professional manner.

Ensures compliance with contract terms and conditions and resolves or refers billing/invoicing, insurance and financial reporting issues.

Distributes reporting templates to agencies, tracks and receives data and periodic reports from agencies and compiles the data in regular reports for each contract sector.

Participates in consolidation of multiple agreements with vendors/agencies through review of existing contracts, analysis of terms, identification of areas for efficiencies/cost savings and recommendations for improvement/consolidation as directed.

Produces well-designed and accurate reports, correspondence, presentation materials, and spreadsheets.

Maintains and updates various computer databases.

Ensures appropriate dissemination of contract and other information and updates stakeholders on status of issues.

Compiles and collates analytical information/data to assist in trending, comparing and benchmarking activities.

Represents interests of applicable director/department in administrative matters utilizing strong communication and correspondence abilities and an understanding of stakeholder needs.

Performs other related duties as assigned.

QUALIFICATIONS: Education & Experience Graduation from post-secondary education/training in Business Administration plus three to four years of recent, related experience or an equivalent combination of education, training and experience.

Must have intermediate to advanced spreadsheet, word processing, presentation, and database software skills.

Knowledge & Abilities Exercises considerable judgment, tact and discretion in preparing, disclosing and handling information of a confidential and/or sensitive nature.

Liaises in a professional and courteous manner with managers/directors, staff, contractors/consultants and external agencies to gather and disseminate information.

Communicates in a compelling, clear and understandable manner (both verbally and in writing) in order to represent the department.

Applies excellent time management skills to prioritize and complete assignments in a manner that optimizes departmental effectiveness and contributes to organizational success.

Practices care and thoroughness when maintaining, monitoring, calculating and summarizing data, records and budget information.

Collaborates with peers to ensure administrative systems and processes are consistently followed and monitored for effectiveness and that gaps are addressed and resolved when identified.

Employs expertise in the use of desktop computer applications to create a variety of documents and presentations.

As per the current Public Health Orders (Long Term Care/Seniors Assisted Living Provincial Health Officer Order and the Health Sector Order), as of October 26, 2021, all employees working for Vancouver Coastal Health must be fully vaccinated for COVID-19.

Proof of vaccination status will be required.
