The Customer Order Coordinator is the first point of contact for the client and must coordinate the order fulfillment process with internal and external partners through the various stages of each project. The Customer Order Coordinator will manage a large sales territory or key accounts with a range of small to large complex orders.Responsibilities & what you’ll be doing:  * Coordinate, communicate and organize all aspects of each project from beginning to end (receipt of purchase order through to installation). Track project milestones and deliverables and follow up on outstanding issues or deficiencies.* Produce project delivery information and timelines, and distribute to all relevant parties;* Build strong relationships with key stakeholders and in an assigned territory or key accounts to provide the highest level of service;* Work with the dealer or sales representative on pre-orders to determine and verify order options and finishes and assist in building quotes before an order is entered into the system;* Work with workspace designers and installation teams to review specifications and floor plans to verify application accuracy;* Coordinate with key internal stakeholders any specials and the related costs or applicable discounts or credit notes;* Compile and issue Field Quality Reports and ad hoc reports as required;* Create and maintain detailed project files for accounts within your assigned territories;* Work with internal teams to review punch list deficiencies and propose future solutions;* Remain involved through project stages to ensure all necessary information is collected and distributed, including site conditions, delivery schedules, install schedules, staging and phasing requirements.* Remain the primary contact for warranty issues, future questions and concerns from sales representatives or dealers;* Participate in special projects and other duties as required.Knowledge, Skills & Qualifications* Diploma or degree in Business or relevant field;* 2-3 years’ experience in a similar role within the manufacturing industry;* Basic understanding of systems furniture and ability to read floor plans;* Good understanding of project management principles including planning, scheduling, contracts, budgets, job costing, coordination, installation and logistics; * Proven project coordination skills. Ability to articulate, compose, coordinate and fulfill project requirements and act as continual liaison between customer, dealers, partners, designers and internal stakeholders;* Intermediate proficiency with MS Office Suite, especially Excel. Previous ERP system experience;* Excellent verbal and written communication skills, with the ability to effectively present and clarify concerns and concepts to various audiences;* Excellent customer service skills. Service focused with a strong sense of urgency;* Strong problem-solving skills including the ability to be resourceful in defining solutions;* Excellent organizational skills, with the ability to manage multiple deliverables in a time-sensitive environment and adapt to frequently changing priorities;* Highly attentive to detail and committed to quality;* Demonstrated team player with excellent interpersonal skills.
