Executive Assistant


This is a Full-time position in Toronto, ON posted June 26, 2019.

Who we need We are seeking a self-directed, independent critical thinker who is well-organized to provide complex administrative support within the executive offices.

Exercising considerable judgment, you will anticipate the senior leaders professional needs and produce first rate documentation to support them.

To succeed in this role, you must be discreet and professional, highly organized, efficient, able to balance priorities, a good planner who can anticipate well.

Areas of responsibilities include: Manage multiple Executive calendars Managing multiple email inboxes, understanding what to respond to on behalf of executives and what to escalate to the Executives Coordinating meetings by organizing and preparing agendas, recording and distributing minutes and arranging logistics as required Researching, composing and typing various draft internal and external correspondence, reports, proposals and presentations Arranging internal and external appointments and meetings ensuring the required stakeholders and material are organized and prepared to ensure success of the meeting/appointment Assisting with various facets of special projects Providing support in travel plans of the executive members Creating and maintaining an effective filing system (hard copy and electronic files) Maintaining the image of the Executive Office by adhering to a professional and consistent standard Provide administrative support to Board committee as assigned Providing back-up support at reception Setting up and closing down meetings The skills you bring Post-secondary degree or diploma in Business Administration, or relevant discipline, preferred A minimum of 5-8 years of recent relevant Senior Administrator experience supporting member(s) of the executive leadership team Proven record in ensuring confidentiality, integrity, professionalism and diplomacy at all times Proven MS Office proficiency (Word, Excel, and PowerPoint) required Proven ability to research and develop powerpoint presentations for the senior leadership team Highly organized with the ability to prioritize and to manage multiple tasks with a sense of urgency Advanced communication (verbal and written) skills Experience managing and navigating through change, taking initiative to work through the unknown, and leveraging your skills to figure things out Strong independent judgment and a high degree of interpersonal effectiveness to be able to deal with stakeholders across various levels both internally and externally Demonstrated ability to work both independently and collaboratively within a team environment Excellent critical thinking skills with the ability to think independently to proactively anticipate the needs of the senior leadership team Must demonstrate high initiative and efficiency with accurate attention to detail Strong scheduling and project management skills Professional approach and the ability to establish and maintain strong interpersonal relationships is necessary Arrays Values Invest in the skills and development of our employees and recognize success Establish and maintain long term relationships Generate consistent profitable growth by providing innovative solutions and outstanding service Pursue operational excellence and quality in everything we do Arrays Guiding Principles Work as a team across all functions and locations Foster a culture of mutual respect, innovation, and pride Communicate openly, honestly and frequently Value the full involvement of and input of all employees Provide clean, safe and ethical work environment Establish clear accountability and provide the authority to achieve goals Encourage calculated risks and reward success The Array Experience Whether you are working in the engineering department in Long Island, the design studio in Toronto or around the world on the manufacturing floor, Array is a place that invests in our people and recognizes their success.
