And there’s nothing that makes them happier than the support of their own dedicated professional association. We’re the Ontario Dental Association, and we represent over 90% of dentists in Ontario: advocating on their behalf to improve dentistry for both dentists and patients—and keeping Ontarians smiling. Working with other health-care professionals, governments, the private sector and the public, the ODA provides a wide range of services, resources, and governance supports to empower our members and lead the profession forward. What we’re looking for We’re looking for a detail-driven, digitally fluent governance professional who thrives in a high-accountability environment and is energized by both structure and change. The Specialist, Board and Council plays a key role in enabling effective governance operations at the ODA. This position supports the Board of Directors, General Council, and key governance committees by managing meeting logistics, preparing official documentation, maintaining compliance standards, and advising internal stakeholders on best practices. What you’ll do In this role, you will work with the Senior Director, Governance and Component Society Relations, and practically speaking, here are some of the responsibilities you’ll: * Plan, coordinate, and support meetings for the Board of Directors, General Council, and governance committees.* Prepare agenda packages and take expert-level, concise, and action-oriented minutes.* Maintain and update official documents such as By-Laws, Committee Charters, Board policies, and governance calendars.* Support onboarding processes for new Board members and lead onboarding for internal committee support staff.* Serve as the primary administrator for the OnBoard board portal, including tech troubleshooting and user support.* Support governance process improvements by integrating digital tools and exploring uses for appropriate AI in minute-taking and information organization.* Liaise with key external stakeholders and vendors, including CDA, RCDSO, and logistics partners, including internal staff, for off-site meetings.* Contribute to a culture of accountability, confidentiality, and continuous improvement in governance. What you’ll bring *  5+ years of experience supporting Boards, Councils, or governance bodies—preferably in the non-profit or public sector.* Expert-level minute-taking and governance writing skills.* Strong proficiency in Microsoft Office (Word, Outlook, Excel, PowerPoint); SharePoint experience is an asset.* Experience using digital board portals (e.g., OnBoard) and comfort working with AI tools and Zoom.* Sound judgment, organizational skills, and the ability to work independently in a high-trust environment.* Bachelor’s degree required (English, Communications, or a related field preferred).Working at the ODA This is a full-time, permanent position.
